events in today’s market

I am a subscriber to all 6 Biz Bash location magazines, and this month – the Florida edition features a ‘where to spend, and where to skip’ editorial about event spending..

I decided to do my own ‘what’s worth it’, and adding some favourites I’d found across the web!

When hosting an event, these ideas are absolutely worth it..

WORTH IT: A GOOD DJ
instant crowd energy, and if they decide to have an impromtu dance party, you have the resources to keep the vibe alive
– for a smaller gathering, an ipod may work just fine

WORTH IT: BEVERAGES
second to food (where you should also include healthy, alternative options and accommodate food allergies) drinks (both alcoholic and non) are key elements to any event. This means, get creative! Having a signature beverage ties in your theme for no extra cost. As well, make absolute sure you are hiring flexible bar staff, and floor servers

WORTH IT: BRANDING & MESSAGING
the most important aspect
– instead of an elaborate entrance, spend money where it counts. Use your budget to create highly branded and marketable stages, sets or focal points inside (near seating, tv’s, projections and areas where guests will be) since that is where your guests attention will be for the longest, and most critical parts of any event

WORTH IT: INTERACTIVE ELEMENTS
worth the investment especially for product launches, charity events or trade shows where the goal is to generate as much press as possible
– print, blog and broadcast buzz is critical, making it vital that the press gets to interact with the product
– builds a connection between your consumers and your brand

WORTH IT: TALENTED, SKILLFUL AND PASSIONATE STAFF
immediate reflection of your company
– provides one-on-one contact with consumers, guests and clients
– they market your philosophy through interaction
– they become your best asset when stressful situations, and the need to troubleshoot arises
– Abundant VALET staff, this may seem like a crucial part to trim, however, having your guests wait around 20 minutes for their vehicle may kill the evening

WORTH IT: GOOD LIGHTING
can alter the entire feel of your event
– cover up unsightly spaces, or enhance and showcase key elements which deserve extra attention

WORTH IT: INVITATION (for Launches, Personal Events etc)
reflects the mood, theme or nature of your event and furthermore, your brand
– creates buzz, and peaks interest in your image
– e-invites for corporate business , meaning conferences, forums and lectures

THE SKIP LIST
paper invitations for corporate events, since most business is done on blackberry, iphone or another smart phone, being able to link an invitation to your personal calender is very important
– big name venues, which often come with a big price tag are one to skip. Obscure venues may offer you better package rates, and will usually be more flexible with what they can produce
– Live music. With the technology behind the I-pod, or having a fabulous DJ (who can better play music to suit the party theme) booking bands is not necessary and can often be quite expensive
